F01

How much does commercial air conditioning installation cost for a business in the UK?

+ + –

Commercial air conditioning costs vary far more than domestic installations, since they depend on the size of the premises, the system type, and how much existing electrical and pipework infrastructure is already in place. As a general guide:

A small retail unit (around 40–60m²) fitted with a single split or two-unit system typically costs £3,500–£6,000.

A medium-sized office (around 100m²) using a multi-split or VRF (Variable Refrigerant Flow) system usually falls between £9,000–£14,000.

A restaurant, pub or similar hospitality space (around 150m²), which often needs ducted VRF alongside ventilation work, typically costs £14,000–£22,000.

A large office or commercial building (500m²+) using a VRV or central HVAC system can range from £30,000 upwards, depending on complexity.

Equipment typically accounts for 35–45% of the total cost, with labour and installation making up a further 30–35%; the remainder covers electrical work, pipework or ductwork, controls, and commissioning. Because every commercial building differs in layout, occupancy and existing infrastructure, an accurate price can only be confirmed with a site survey — which Norton Air Conditioning provides free of charge for businesses across Berkshire, Buckinghamshire, Hampshire and Oxfordshire.

Does the 0% VAT relief on air conditioning apply to commercial premises?

+ + –

No. The VAT zero-rating for energy-saving materials and heating equipment, introduced under VAT Notice 708/6 from 1 February 2024, applies specifically to installations in residential accommodation. It does not extend to commercial or business premises.

This means air conditioning installed in offices, shops, restaurants, healthcare settings, or any other commercial building is subject to the standard rate of VAT (currently 20%), regardless of whether the system also provides a heating function. This is worth bearing in mind when comparing quotes or budgeting for a project, as it’s a common point of confusion given the recent publicity around the residential VAT change.

(This is general information rather than tax advice — businesses should confirm their specific VAT position with HMRC or their accountant.)

F03

How often does a business need to have its air conditioning system serviced?

+ + –

Commercial systems generally need servicing more frequently than domestic ones, both to maintain performance and to meet legal compliance requirements. As a starting point, most commercial systems benefit from two to four maintenance visits a year, though the right frequency depends on how intensively the system is used and the environment it operates in — a data centre or healthcare setting, for example, will usually need more frequent attention than a small office.

Businesses with systems containing larger refrigerant charges also have statutory obligations under the F-Gas Regulations, which set mandatory leak-check intervals based on the system’s CO2 equivalent (CO2e) charge:

Under 5 tonnes CO2e: no mandatory interval, though regular checks are still good practice.

5–50 tonnes CO2e: checks required at least every 12 months (extendable to 24 months with automatic leak detection fitted).

50–500 tonnes CO2e: checks required at least every 6 months (12 months with detection fitted).

500 tonnes CO2e and above: checks required at least every 3 months (6 months with detection fitted).

Operators are also required to keep auditable records of refrigerant type and quantity, leak check dates and results, and details of the certified engineers carrying out the work, retained for five years. Norton Air Conditioning arranges planned maintenance visits around your working hours to minimise disruption, and can advise on which F-Gas obligations apply to your system.

What type of air conditioning system is best for a business?

+ + –

The right system depends on the size of the premises, how the space is used, and the level of control needed over different areas or “zones.” Norton Air Conditioning designs and installs bespoke commercial systems across a range of sectors, including offices, retail, hospitality, healthcare, sports and fitness facilities, and data centres and IT environments, using equipment from leading manufacturers such as Daikin, Mitsubishi Electric, Mitsubishi Heavy Industries, Panasonic, Toshiba, Hitachi and Fujitsu.

As a general guide: single or multi-split systems suit smaller offices or retail units needing to cool a handful of rooms independently; VRF/VRV (Variable Refrigerant Flow/Volume) systems suit larger or multi-zone buildings, allowing different areas to be heated or cooled simultaneously from shared outdoor units; and ducted systems are often preferred where a discreet finish is important, such as in retail, hospitality or healthcare environments, as they hide the indoor units above the ceiling.

Data centres and IT environments typically require systems designed around precise, continuous temperature and humidity control rather than general comfort cooling, so these are specified differently again. With over 50 years’ experience in commercial climate control, Norton’s engineers assess each building’s layout, occupancy and operational requirements before recommending the most appropriate system.
